Terms and Conditions
The following applies to all American Society of Naval Engineers (ASNE) events unless otherwise noted. Terms and Conditions are subject to change without notice.
ASNE reserves the right to reject any application or registration application.
By attending an ASNE event, virtually, or in person, each participant consents to being filmed, photographed and recorded during and in connection with the meeting and consents to the use or publication of such recordings in connection with any promotional, educational or professional purposes.
Each participant releases ASNE and its Council members, directors, officers, employees, or agents from any and all liability arising from the recordings or their uses, including for infringement of proprietary rights, invasion of privacy, defamation or any other cause of action, and waives any right to inspect or approve such recordings and any and all rights to payment of royalties in connection therewith.
Attendee Registration
Submission of registration, whether online or via email, fax, phone, mail or in-person constitutes registration and agreement with these Terms & Conditions. Registration attendee requests will be vetted through U.S. government entities. ASNE reserves the right to deny registration application requests.
In the event a credit card is declined, or a check is returned, the registrant must provide payment no later than 14 business days prior to the event, OR within 14 business days of notification (whichever is sooner), or the registration will be cancelled.
In the instance a Purchase Order (PO) Number is not received, or payment is not obtained for any other reason, the individual or organization is still responsible for payment unless a written cancellation is submitted in accordance with the cancellation policy.
Rates selected by attendees during registration will be verified. If an incorrect rate-type has been selected and paid, the registration rate will be adjusted appropriately, e.g., if a symposia registration selects ASNE member category, and is not a current ASNE member, a portion of the payment will first go to pay a current ASNE membership. Individuals will then be invoiced for the remaining balance required. Individuals may receive a credit for overpayment. Attendees are responsible for additional payment, if required, if they registered under an unauthorized registration category.
All cancellations and transfers must be submitted in writing.
Exhibit & Sponsorship Purchase
Submission of exhibit or sponsorship application, whether in-person, on-line, via email, fax, phone, or mail constitutes agreement with the following Terms & Conditions.
A 25% minimum deposit for both sponsorships and exhibit booths / table-tops (including virtual exhibit booths) are due at the time of reservation.
Deposits provided on-site as part of the presale of next ASNE Symposia exhibits or sponsorships provide the organization the reservation for a potential exhibit location or specific sponsorship for that next symposium.
Pre-sale (on-site) organizations that provide paid-in-full payments are the only ones guaranteed their exhibit location or specific sponsorship. An organization that does not provide full payment at the on-site (presale), or before the early bird pricing paid-in-full deadline date, revert to full exhibit, table-top, or in-water / live demo pricing.
e.g.:
A premium exhibit booth standard rate is $3,995.
An organization has the following options:
*Paid-in-full Pre-sale (on-site) price: $3,195 ($800 Discount Saving$) [Pricing only provided for example/comparison purposes].
** Note: To receive Pre-sale (on-site) pricing, full payment must be received before the close of that year’s Symposium.
** Note: If only a deposit was provided at the pre-sale, that amount will be applied against Early Bird Pricing for Exhibit Booth.
*Early Bird Pricing: $3,595 ($400 Discount Saving$)
**Note: To Receive Early Bird pricing, full payment must be received and processed by the last day of Early Bird pricing deadline. If full payment not received, pricing reverts to standard exhibit booth pricing.
** Note: If a deposit was provided, that amount will be applied against standard Pricing for Exhibit Booth.
The above example provided for notional premium exhibit booth standard rate of $3,995.
Until full payment of an exhibit or sponsorship is received, ASNE retains the right to offer the sponsorship or exhibit location to other interested parties.
Upon acceptance by ASNE of an application, accompanied by a payment in full, or a deposit, it shall be a contract between the applying organization and ASNE; with provisions that either party may cancel this contract, but with the understanding that cancellation fees will apply.
*Note: If an American Society of Naval Engineers in-person event is cancelled by ASNE all deposits and paid amounts can be refunded, or may be applied to future ASNE events, registrations, membership, webinars, professional development training, or publications.
If cancellation of an exhibit or sponsorship is requested, written notice of such cancellation must be sent and received prior to 31 days before the published opening date of the event. The amount of the deposit paid may be refunded, and is contingent upon the following details:
- If the organization is an ASNE Corporate Support Member
- If the cancellation notification is made in writing
- The percentage refunded is based upon the number of days prior to the event.

Exhibits
*For ASNE Corporate Support Members:
**Full Exhibitor deposit refunds can be provided to ASNE Corporate Support Members. Request for full refunds must be in writing 31 days or greater prior to the start of the Symposium, otherwise the below cancellation fee language applies.
*For Non-ASNE Corporate Supporter Members:
**A cancellation fee of 25% of the paid deposit amount will be charged if the exhibit (including virtual exhibits) is cancelled by the exhibitor 91 days or greater prior to the symposium or event.
**Cancellation of exhibit reservation 90 days thru 31 days prior to the event will result in a cancellation fee of 50% of the paid amount.
**Cancellation of exhibit reservation 30 days thru 7 days prior to the event will result in a cancellation fee of 75% of the paid amount.
***Please Note: Cancellation of exhibit reservation less than 7 days prior to the event will result in a cancellation fee of 100% of the paid amount.
***Transfer of Exhibitor deposit to a future symposia is authorized – but, the request must be in writing 31 days or greater prior to the start of the Symposium, otherwise cancellation fee language applies.
If exhibit or sponsorship invoice is not paid-in-full, ASNE retains the right to offer the exhibit location or sponsorship to other interested parties.
Sponsorships
*For ASNE Corporate Support Members:
**Full Sponsorship deposit refunds can be provided to ASNE Corporate Support Members. Request for full refunds must be in writing 31 days or greater prior to the start of the Symposium, otherwise the below cancellation fee language applies. Requests for sponsorship deposit refunds received less than 30 days prior to the start of a symposia will not be excepted. For Corporate Support Members, at 30 days or less, only transfer of deposit to a future symposia, or another ASNE event or professional program is authorized.
*For Non-ASNE Corporate Supporter Members:
**Symposium sponsorship cancellation fee of 25% of the paid amount will be charged if the sponsorship is cancelled 91 days or greater, prior to the symposium.
**Cancellation of a sponsorship 90 days thru 31 days prior to the event will result in a cancellation fee of 50% of the paid amount.
**Cancellation of a sponsorship 30 days or less prior to the start of a Symposium event (including virtual Symposia) will result in loss of paid amount.
***Transfer of a Sponsorship deposit to a future symposia must be in writing 31 days or greater prior to the start of the Symposium, otherwise the above cancellation fee language applies.
***If an exhibit location or specific sponsorship invoice is not paid-in-full, ASNE retains the right to offer the exhibit location or sponsorship to other interested parties.
Event Registration Fee Refunds
*Please Read Before Paying a Registration Fee:
Registration fee refunds for symposia and in-person events:

For Active-Duty DOD, DHS, NOAA personnel, and U.S. Government Service Civilians:
Cancellation of registration:
* If the request is received in writing greater than 14 days prior to the start of an ASNE event, full 100% registration fee refunds are provided for Active-Duty DOD, DHS, NOAA personnel, U.S. Government Service Civilians. ASNE must confirm Food & Beverage numbers approximately 14 days prior to any event and incurs charges for confirmed attendees.
** If an event registration is cancelled in writing 14 days or less -- before -- the start of a symposium, a 33% registration cancellation fee applies [due to committed Food & Beverage contract charges].
*** If a registrations is cancelled -- after-- the start of the Symposium, or if the confirmed registrant is a no-show, no refund will be authorized.
Transfer of registration fee to another person is authorized. Request must be in writing greater than 14 days before the published start of the symposium.

* If the request is received in writing greater than 14 days prior to the start of an ASNE event, (the 14-day pre-event Food & Beverage date where ASNE must provide attendee numbers to the contracted caterers), full refunds can be provided. **If an event registration is cancelled in writing 14 days or less -- before the start of a symposium, a 33% registration cancellation fee applies [due to committed Food & Beverage contract charges], the rest of the registration fee can be refunded to the ASNE member.
*** If a registration is cancelled -- after-- the start of the Symposium, or if the confirmed registrant is a no-show, no refund will be authorized.

For Non-ASNE Members:
Cancelled Attendee Registration fees for non-ASNE members will be transferred to a future ASNE symposium or event.
* If the request is received in writing greater than 14 days prior to the start of an ASNE event, (the 7-day pre-event Food & Beverage date where ASNE must provide attendee numbers to the contracted caterers), Registration fees for non-ASNE members will be transferred to a future ASNE symposium or event.
**If an event registration is cancelled in writing 14 days or less -- before the start of a symposium, a 33% registration cancellation fee applies [due to committed Food & Beverage contract charges], the rest of the registration fee can be applied to a future event or can be donated to ASNE.
*** If a registration is cancelled -- after-- the start of the Symposium, or if the confirmed registrant is a no-show, no refund will be authorized.

The American Society of Naval Engineers does not rent, sell, or provide ASNE symposia or event attendee lists to potential exhibitor/sponsor, or any third part organizations. In addition, if you are contacted by a person or organization stating they have information with respect to ASNE attendance lists - please report the name/organization to the ASNE Executive Director at executivedir@navalengineers.org - as ASNE will report this SCAM to appropriate government entities.
